As business owners, we all strive to be productive in our day-to-day operations. However, it’s easy to get pulled in many directions, making it challenging to stay focused. Setting clear expectations and structuring our days effectively is crucial to ensure we can manage our time efficiently and achieve our goals. 

So we’re diving into the topic we all love—productivity,  and I am letting you into My Secrets to Being Productive.

The Power of Time Blocking

One of the most effective strategies I’ve found is Time blocking. This involves planning out my week, month, and year using time blocking sheets. These sheets help me visualize what needs to be done and allow me to prioritize tasks effectively. Once I’ve outlined my tasks, I transfer them into my calendar.

By doing this, I can see at a glance which client launches are coming up, what key projects need attention, and what deadlines are approaching. This method helps me stay organized and ensures that nothing slips through the cracks.

One effective method to enhance productivity is to designate specific days for focused tasks. For example, setting aside a “video batching day” where the office is closed to interruptions allows for deep work on content creation. Proper preparation for such focused tasks leads to significant increases in productivity.

Project Management

To manage my workload and keep track of tasks, I rely on ClickUp, our project management tool. ClickUp allows me to assign tasks to team members, forecast upcoming workloads, and track our progress. It’s an essential tool that helps us stay on top of our game.

In ClickUp, we create detailed plans and assign tasks with clear deadlines. This ensures that everyone knows what they need to do and when it needs to be done. By keeping everything in one place, we can easily monitor our progress and make adjustments as needed.

Batching Work for Maximum Efficiency

Another key strategy I use is batching work. This means grouping similar tasks together and dedicating specific days to focus on them. For example, Mondays and Fridays are typically dedicated to business operations. On Mondays, I review financial reports, hold team meetings, and plan for the week ahead. Fridays are often reserved for catching up on admin tasks and preparing for the upcoming week.

During the middle of the week, I focus on marketing tasks. I set aside dedicated chunks of time for creating videos, recording podcasts, writing blog posts, and more. By batching these tasks, I can stay in the zone and be more productive.

Structuring Client Call Availability

To avoid interruptions, I have specific times set aside for client calls. I’m not available for calls on Mondays and Fridays, but I am available from Tuesday to Thursday. Tuesday mornings are dedicated to training sessions with my memberships, where I run Q&A sessions, challenges, and kickstarts. 

This structure helps me stay focused and ensures that I’m available when my clients need me most.

Balancing Work and Personal Life

Maintaining a healthy work-life balance is essential for long-term productivity. I have non-negotiable family time in my schedule, finishing my consulting days at [3:30] PM to spend time with my daughter and husband. Fridays are my personal “me” days, dedicated to life admin or simply taking a break.

This balance allows me to recharge and stay motivated, ensuring that I can give my best to both my business and my family.

Streamlining Tools and Resources

ClickUp is an indispensable tool for our productivity. If a task isn’t in ClickUp, it didn’t happen. We use different statuses and triggers to stay on top of tasks and we share our workflows in the  AI, Async and Automation Hub
