The Central Hub: ClickUp
We run our entire business from one central hub, and for us, that is ClickUp.
A lot of business owners think they need a separate, complicated tool for absolutely everything, but we use ClickUp to manage all our projects and also double-hat it as our CRM.
Having our client information, project tasks, and communication logs all connected in one place means nothing gets lost in translation, and it beautifully takes the clutter out of your head and puts it into a clear, visual workspace so you can start your day with total clarity.
Seamless Bookings: Acuity & TidyCal
There is nothing that drains your daily energy faster than the constant back-and-forth email dance of trying to find a time to meet with a client or partner.
To protect our time and keep things flowing, we rely on booking calendars to automate that entire process. Acuity is our preferred scheduling tool because it integrates so beautifully with our systems, but if you are looking for a super simple, cost-effective alternative to get started, TidyCal is also a brilliant option.
Both of these tools link directly to your calendar, let people book in when you are actually available, and send out automated reminders so you can focus entirely on showing up and serving.
The Visibility Engine: Metricool & MeetEdgar
Consistent visibility is the lifeblood of your marketing tree, but we use a smart, dual-tool approach: different tools for different things, without burning out.
For all of our day-to-day, short-form scheduling, we use Metricool because it gives us a beautiful visual dashboard and deep analytics across all our platforms.
To make our content work even harder, we pair it with MeetEdgar, which manages our evergreen content library and consistently reshuffles and reposts our core educational pieces so we are still showing up for our audience even when we are completely offline.
Online Learning & Live Events: Thinkific & Eventbrite
When it comes to delivering value, education, and gathering our people together, we want the experience to feel incredibly smooth and welcoming.
For all of our online learning, we use Thinkific because it allows us to host our community, our membership, and our courses all in one dedicated, professional space where our students can thrive.
And when we want to bring people together for live events, we tap into the amazing Eventbrite system, which makes the ticketing and registration process completely seamless for both our team and our attendees.
The Financial Flow: Xero, Stripe & PayPal
It is incredibly hard to feel creative and free when you are stressed about your numbers or chasing invoices, which is why having a healthy financial foundation is so important.
We use Xero as our core accounting system and keep it connected to reliable payment gateways like Stripe and PayPal so our clients can pay their invoices instantly.
This setup means bank feeds are automated, payments are tracked, and our bookkeeping runs smoothly in the background, giving you the financial peace of mind to make business decisions with confidence.
The Creative Toolkit: Descript & Canva
We all know that visual and video content are highly effective ways to build relationships with your audience, but edit fatigue is very real when you are doing it all yourself.
To keep our content production simple, we rely on Descript and Canva to do the heavy lifting.
Descript is an absolute lifesaver for video and audio editing because it allows you to edit your media by simply editing the text transcript, while Canva lets us load up our Brand Kit with our exact colours and fonts so we can spin up gorgeous, on-brand graphics in minutes rather than starting from scratch every time.
Shift From Daily Hustle to Sustainable Ease
Yes, setting up these systems takes a bit of time at the beginning, and it requires you to sit down, make decisions, and map out your workflows. But once they are set up, they work for you.
They give you the space to step away from your business, knowing that your marketing is still ticking over, your projects are tracked, and your finances are looked after. Structure isn’t there to restrict your creativity or your flow. It’s there to give your ideas a safe, strong place to land.
